Attitude, capacity and knowledge are assessed separately and recorded for adviser review.

A structured questionnaire produces a scored profile — recorded with the answers behind it, not just the number.

Capacity is assessed on the client’s circumstances, distinct from attitude — the distinction a well-evidenced file is expected to show.

Where attitude and capacity disagree, the difference is surfaced for the adviser to resolve and record — never quietly split down the middle.

Product-risk comparison

The agreed client profile can be considered alongside relevant product risk information. The adviser remains responsible for deciding whether the comparison is appropriate.

Workflow checks before drafting

Before a Suitability Worksheet is produced, the case is checked. No completed risk profile — no investment recommendation section; the worksheet says why, and what to complete. A case subject to a configured specialist-review step stays held until the required review is recorded. The gates are the point: the file shows the checks that were configured and the items that remain outstanding.

Every worksheet is the case’s own

Built from this client’s facts, figures and profile — each document is assembled from what is recorded for that case. The adviser starts from a working draft of the actual case, not a blank page or a generic template.

Structured draft wording appears where the case calls for it — for the adviser to review, amend and approve, so the firm isn’t re-drafting the same paragraphs case after case.

Checkpoints that protect the firm

Where a configured review step applies, the worksheet holds and says so — and the hold is recorded in the audit trail. Configured review steps can hold the workflow and record what remains outstanding.

Honest about what’s outstanding

If part of the analysis hasn’t been completed, the worksheet flags it clearly instead of leaving a silent gap — so outstanding items are shown before sign-off.

A note on languageWe say pseudonymisation, not anonymisation, on purpose. Because your firm holds the mapping back to the individual, the data remains personal data under UK GDPR and keeps full processor protections in place. We would rather describe it accurately than overstate it.

Pseudonymisation on entry

Encrypted identity mapping

The reference-to-identity mapping is encrypted and stored separately from working case data. Exposed case data would carry references, not names.

EEA-hosted database

The core platform database is hosted in AWS Europe (Ireland), eu-west-1, under UK adequacy. Every sub-processor, location and safeguard is published.

No AI training on your data

AI-assisted drafting is planned for launch. Under the supplier terms applying to Suitxen, customer content is not used for model training; only pseudonymised working content will be submitted when enabled.

Your firm owns its outputs

Your firm retains ownership of the data it enters and the documents it exports, subject to the Terms. Documents are working drafts — the adviser reviews, edits and signs off before anything reaches a client.

30 days’ notice of changes

Sub-processor changes are notified at least 30 days ahead on a published page and in the platform, with a right to object under the DPA.

Participation conditions — in brief

Beta access is free and by invitation, for a two-week evaluation window. Founding pricing is earned through active participation: entering at least three of your firm’s own real client cases during the window — with identifying details minimised and no special-category data (where a case can’t be entered on that basis, we’ll agree a substitute or reduced-detail case with you) — together with substantive feedback. Full conditions, including what happens on partial participation, are in clause 12 of the Beta Programme Agreement, published in full below.

10Due diligence

The questions firms ask us first.

A connected financial planning workspace for UK advice professionals: it takes a case from a structured fact-find, through the calculations and a risk profile, to working planning and suitability documents the adviser reviews and signs off — all against a case reference rather than a client name.

Your firm is the controller of its clients’ data; Suitxen acts as a processor under a written Data Processing Agreement, accepted at sign-up before any client data is entered. Suitxen is the controller only of its own business data — enquiries, accounts and billing — covered by our Privacy Notice.

A client name may be entered once, at case creation, to establish the case reference. Working case data then uses the reference, while the mapping between the two is encrypted and held separately. The fact-find, calculations, risk profile, worksheets and audit trail all run on the reference — and pseudonymised case data remains personal data under UK GDPR.

The core platform database is hosted in AWS Europe (Ireland), eu-west-1 — inside the EEA and covered by the UK’s adequacy regulations. Other providers process data in the UK, EEA or other locations under the EU Standard Contractual Clauses with the UK Addendum — the full list, each provider’s location and safeguard, and our change-notification process are published on the Sub-processors page.

Working case data is automatically deleted from production seven calendar days after creation, and later edits don’t extend that period; residual encrypted backups follow the same short cycle (never more than 30 days). The timescales are set out in our published Data Processing Agreement. Your firm exports what it needs — the worksheets in DOCX or PDF — before then, and your exports belong to you. The review and sign-off trail is recorded without client names; your firm decides what evidence it keeps for its Consumer Duty obligations.

No. Under the supplier terms applying to Suitxen, customer content is not used for model training. AI-assisted drafting is planned for launch and will receive pseudonymised working content only: references, not client names. We re-verify these terms on a scheduled basis.

Your firm does. The case data you enter and the worksheets you export are yours, and the Terms of Service say so in plain language. Suitxen keeps the platform; you keep the work.

Yes. Suitxen is a firm workspace with roles and permissions — a paraplanner can build the case and an adviser can review and sign off, with the firm-level audit trail recording who did what throughout.

No. Suitxen is professional software — a workspace that supports the work of regulated firms without carrying out any regulated activity itself. It does not give advice or make personal recommendations: every output is a working document that a qualified adviser reviews, edits and signs off, and your firm remains responsible for suitability and its Consumer Duty and COBS obligations. That clear boundary is part of the design.

Three documents, accepted online through the beta gate in order: a Mutual NDA, the Beta Programme Agreement (a free two-week evaluation window with staged access and the founding-pricing terms), and the Data Processing Agreement. All three are published in full in the Legal section of this site, and we record the version your firm accepted, and when.

Access ends automatically unless we agree an extension — that’s in the Beta Programme Agreement, so there’s no ambiguity. You keep everything you exported, and firms that took part keep their founding pricing terms for launch.

The beta itself is free. Pricing is published at launch. Founding pricing follows clause 12 of the Beta Programme Agreement: up to five founding places (Cohort 1) receive 40% off list price for life; up to fifteen early-partner places (Cohort 2) receive 40% off for the first 24 months, then 20% thereafter; further interest is held on a waiting list, with an early-access rate of 20% for the first 12 months for waiting-list firms that subscribe within 60 days of general availability. Each founding rate is earned by active participation during the beta and applies to the base fee of one standard plan while the subscription stays continuous.
